About Certificates Online

Send us your attendees' or students' names plus a PDF copy of your certificate, and within a day we can have your certificates available for your students to download. If you want us to email your attendees using our personalised emailing system we will also need their email addresses.

As soon as we have imported your data and set up your certificate we will send your attendees a secure, personalised email with a hashed download link that will allow them to download their certificate directly from their inbox. Our system tracks and reports on email deliveries, clicks and bounces so you know whether any follow up is needed. Reminder emails are also easily distributed. We can also direct your certificate recipients to a website page where they can search for and download their certificate.

And if your policies preclude you from sharing your attendees' or students' email addresses, we can provide you with the necessary data that you can import into your own communication system.  

From start to finish we can have your certificates available for your students to download within a day. Certificates can be available for your students to access as many times and for as long as you like, or until you ask us to disable access or delete the data from our server. 

We host Certificates Online on our own secure server using a South African hosting provider and local data centre. We have a comprehensive data security and backup system to protect your data.  Our system is POPIA compliant and your data is fully secured. Once you have completed distributing your certificates, we will gladly delete your data. 

We will not use your data for any other purpose; we will not share your data with anyone you do not authorise; and we never sell any data.  

We offer a straightforward costing structure with no hidden surprises.  

• Setup fee: R1850 excluding VAT
• R3.50 per attendee/student excluding VAT
• If you need a certificate designed we can provide a reasonable quotation, or you can use an online service like Canva.

What is included in the cost:

• Setup.
• Importing your data.
• Importing your certificate PDF and setting up the data merge fields.
• Web page where your attendees/students can download their certificates.
• Personalised email to your attendees/students with a secure link to download their certificate from their inbox. You can use our standard email wording or customise the email to your needs.
• Reminder email to your data list and the option to do further communications.
• Detailed email distribution report indicating deliveries, clicks and bounces.
• Data will remain on the system indefinitely (or be deleted on your request).
• We will remove individual attendee records if requested by the attendee.
• Your attendees/students can download whenever they wish, or until you request us to remove your data.
• If you cannot share your attendee's email addresses we can also provide you with a data file that you can import into your own email or other communication system.

AssocWorks works primarily in the non-profit sector and most of our engagements are with higher education institutions. Our anchor client is PURCO SA (purcosa.co.za), a membership consortium of all South African and Namibian Universities, TVET colleges and their associated standards and research bodies. We have worked with PURCO SA since our business was founded in 2010. 

Our ongoing projects include the online Higher Education e-Tender Management System used by almost every South African university, TVET College, and associated research and standards bodies.
